Club Data Agreement

Authority and scope

The person creating or operating a club confirms they are authorized by the relevant school, district, or responsible organization to use Kaisen and submit participant data for that club. This does not state or imply that a school or district endorses Kaisen.

Appropriate data

The club will collect only information reasonably needed for its tutoring workflow and will not request medical, disability, disciplinary, financial, government-ID, or other highly sensitive information unless it has an appropriate documented basis and safeguards.

Club responsibilities

The club remains responsible for tutor screening, supervision, safeguarding, communications, parent/guardian processes where applicable, and compliance with its own policies and applicable law. Kaisen provides software and does not supervise tutoring relationships.

Access and sharing

The club will limit manager access to people who need it, protect join and tutor codes, and use participant information only for the club’s tutoring workflow. Club data is accessible only to the relevant people in that club through Kaisen and is not shared with other clubs or unrelated parties. The club will promptly remove access when a participant or manager should no longer have it.

Requests and deletion

The club will respond appropriately to participant data questions and use Kaisen’s club-level export and deletion controls when appropriate. Deleting a person from a club removes their club data but not their account or data held by other clubs.

Security communication

The club will promptly report suspected unauthorized access or misuse involving its club to admin@kaisenapp.com and cooperate with reasonable containment steps.
