What this policy covers

Kaisen helps schools, clubs, and student groups organize tutoring requests, tutor approvals, matching, and pairings. This policy explains what information we collect and how we use it.

Information we collect

When you sign in with Google, we receive your name, email address, profile image, and the identity information Google provides. You may also provide phone number, gender, pronouns, and club-specific responses. Club managers may add club names, descriptions, logos, form fields, requests, and pairing information.

Kaisen is not available to anyone under 13. We do not knowingly collect personal information from children under 13. If we learn that an account belongs to someone under 13, we will delete the account and associated personal information.

How we use information

We use information to authenticate accounts, operate club workspaces, display relevant requests to authorized club managers and members, create and manage tutor-tutee pairings, send pairing notifications, prevent duplicate assignments, and provide support.

We do not sell personal information, use it for behavioral advertising, or use club or student data to train general-purpose AI models. We do not create marketing profiles from student data.

Sharing and visibility

Information is visible only to the relevant people in the relevant club who need it for the tutoring workflow. Club information is not visible to other clubs or their members. Information visible to a paired tutor or tutee may include the contact and matching information their club has chosen to use. Club managers should collect only information appropriate for their club and explain their own local expectations to members.

Club and participant data is stored in a secured database that is not publicly accessible. Access is restricted to authorized Kaisen systems and authorized users through the application. We do not share club or student data with unrelated users, clubs, or external parties, except where disclosure is required by law.

Retention and deletion

We retain account, club, request, and pairing information while it is needed to operate the service or comply with legal obligations. Club managers can download club data, remove a person from their club, and delete a club through available controls. Removal ends club access and anonymizes historical requests and pairings as “Unknown User”; it does not erase that person’s account or data in other clubs. Minimal immutable security records may remain after deletion; backups are overwritten on their normal cycle. To request account-wide deletion, correction, or a copy of your information, email admin@kaisenapp.com.

Security and changes

We use reasonable administrative and technical safeguards, including access controls and encrypted connections, but no online service can guarantee absolute security. We may update this policy as Kaisen changes. We will post the updated version here and revise the date above.

School and club responsibilities

Kaisen provides software for organizing tutoring clubs. Each school or club is responsible for its own tutor screening, student supervision, safeguarding, communications, and compliance with local policies. Use of Kaisen does not mean that a school or district endorses Kaisen unless it has explicitly said so.
